In 2013 we were appointed as travel partner to the UK and Canadian Contingents for the 23rd World Scout Jamboree in Japan 2015. As our team are also active members of the Scouting community it meant we could put the motto of ‘Be Prepared’ into practice to guarantee event success.

The challenge:

We were tasked with organising all logistics to get both UK and Canadian participants and support staff to Japan from their various international bases. In addition, we also arranged all their transfers, a three-day pre-Jamboree experience in Tokyo, travel to and from Home Hospitality (HoHo) and post-event tours for the International Service Team (IST) around Japan, Beijing and Dubai. This equated to transporting over 4,000 participants across the globe – and back – for the event.


How we did it:

Working with over 26 airlines and numerous accommodation providers we successfully sourced and secured 4,114 flights, booked 3,239 hotel stays, 193 coach transfers and 6,871 bullet train tickets in preparation.

But it wasn’t just the travel arrangements we focused on – we ensured the participants had plenty to do while they were there – organising trips to concerts, tourist hotspots and once-in-a-lifetime experiences.

We were on-site and available to assist all attendees, ensuring everyone caught their flights, made their connections and arrived safely in Japan. And once they were there, we assisted with transporting and hosting the participants throughout their trip.

Our team immersed themselves in the culture of Japan making sure they could anticipate and answer every question that the organisers could ask.

The participants of the Jamboree came from far and wide so it was essential that flights were secured from the nearest airport and transfers were organised to ensure seamless travel.

Making sure all attendees arrived on time and on budget was of paramount importance and this was balanced with ensuring that everyone left having had an unforgettable trip of a lifetime.

The culture and geography of Japan offers its own challenges for western visitors and we made sure each and every participant was made to feel confident, secure and prepared to enjoy the adventure ahead.
