Car Hire and Hotel Administrator

ABOUT THE JOB

An exciting opportunity for someone starting their career.  Travel Places is looking for a self-motivated individual with a drive to succeed in a customer orientated role within a travel specialist organisation.  The suitable candidate will be passionate about delivering excellent service to high-profile clients and have a willingness to learn.  As this is a starting role a background in travel is not essential as training will be provided.

The is a developing role that will initially involve booking ground transportation and hotel requirements for a variety of clients.  As the role progresses this could expand into booking flights and working on various sporting and entertainment events.  

OVERVIEW OF MAIN DUTIES AND RESPONSIBILITIES

  1. Liaising with clients to arrange car hire, transfers, trains and ferry requirements starting with a detailed proposal through to the completion of the booking.
  2. Researching and quoting clients on any hotel requests, detailing all relevant information to lead to a booking being made.
  3. Managing individual ad hoc bookings as well as group bookings to various international events, managing all stages of the process from reservation, contracts and invoicing.
  4. Completing all booking administration including database management, invoicing and solving client queries.
  5. Assisting with various office responsibilities such as research general admin and daily post.


EXPERIENCE & QUALIFICATIONS

  1. Experience of using Microsoft 365 or similar
  2. English and Math’s grade 4 or above or similar qualification
  3. BTEC in Travel and Tourism (Desirable but not essential)


SKILLS, ABILITIES & PERSONAL ATTRIBUTES

  1. The ability to compose written correspondence to a high standard & in line with Travel Places’ policies & values.
  2. Excellent communication skills & telephone manner, with the ability to resolve issues or escalate as appropriate.
  3. A high level of personal & professional commitment, with a flexible approach & an ability to work using own initiative to tight deadlines & to meet the needs of the business.
  4. An understanding & willingness to be available outside normal working hours to assist client & Directors.
  5. Highly motivated & able to manage own workload.

Senior Travel Consultant - Music & Entertainment

OBJECTIVE
To maintain excellent customer service and keep up-to-date with the technical and product knowledge required to do the job. Senior Travel Consultants (STC) will be required to respond quickly and accurately to client enquiries and be able to work flexibly and cope well under pressure. The roles and responsibilities listed below are over and above those of a travel Consultant.

OVERVIEW OF MAIN DUTIES AND RESPONSIBILITIES

  • Building and maintaining excellent relationships both internally & externally.
  • An understanding and willingness to be available outside normal working hours to assist clients and Directors.
  • An ability and willingness to solve problems by offering creative solutions or new working procedures presenting these to management in a professional and concise manner.
  • Ensuring concise and accurate pricing issuing tickets/documents within the correct timeframe. This will also include an in-depth knowledge of fares, re-issuing and refunding.
  • Have a desire for continual learning and staying up to date with new procedures, product knowledge and technologies within the travel industry.
  • Being proactive within the department and meetings highlighting to colleagues’ relevant information both within our industry and those of our clients.
  • Communicate effectively with a wide variety of people and be committed to equality and diversity within the organisation.
  • Effectively able to support dept. managers and able to assist and mentor colleagues.
  • Support department manager with staff performance and 1-2-1s
  • Experience of working on complex and detailed tours & events for entertainment clients.
  • Comply with the sustainability policy and the procedures as they relate to your job.
  • Creation, maintenance and development of key supplier& client relationships to a consistently high professional standard.

EXPERIENCE

  • The ability to recalculate & reissue tickets & refunds accurately
  • An understanding of a variety of complex fares including RTW.
  • The ability to fare build & issue tickets.
  • Proven experience of using Microsoft, the database & and understanding of the accounts system.
  • Understanding of the preparation & execution of international tours and events with multi stop itineraries and large travelling parties.

Travel Consultant - Music & Entertainment

OBJECTIVE
To maintain excellent customer service and keep up-to-date with the technical and product knowledge required to do the job. Consultants will be required to respond quickly and accurately to client enquiries and be able to work flexibly and cope well under pressure. They should also keep informed about the Sports Travel industry. They will need to communicate well on all levels.

OVERVIEW OF MAIN DUTIES AND RESPONSIBILITIES

  • Liaising with clients to advise flight information with costs leading to a booking being made.
  • Building and maintaining excellent relationships with both clients and suppliers
  • Ensuring concise and accurate pricing using the fare sheets and supporting information.
  • Ensuring information is accurate in all reservations and that all additional servicing requirements have been made (i.e seating/loyalty cards/excess baggage etc)
  • Dealing with customer enquiries with a turnaround of 24-48 hours and any customer complaints.
  • Applying the appropriate fares and issuing tickets/documents within the correct time frame. This will also include re-issuing and refunding where appropriate. It is your responsibility to ensure all documents are sent to your client in a timely fashion.
  • Accurate checking of databases with client requirements and suppliers.
  • Accurate use of all database and systems taking responsibility for its operation as part of the department, including correct admin work to support the accounts department.
  • Communicate effectively with a wide variety of people and be committed to equality and diversity within the organisation.
  • Managing own workload and queues
  • Comply with the sustainability policy and the procedures as they relate to your job.
  • Cultivation of positive professional relationships with key vendors & clients.
